What GegoK12 costs

GegoK12 is an open source school ERP built on PHP 8.4 and Laravel. Twenty-six of its thirty-eight modules are free forever under the MIT licence. The other twelve are one-off purchases between $100 and $250. Hosting, support and custom work are separate and optional.

There is no per-student fee, no user limit and no subscription on the software itself. A school that self-hosts the free core and never contacts us pays nothing, permanently.

  • $026 modules, MIT licensed, self-hosted, no time limit
  • $100–$250Each of the 12 Pro modules, one-off, per domain
  • $1,650All twelve Pro modules, if a school ever buys every one
  • $0 / studentEnrolment never changes what the software costs
Choose how you run it

Three ways to run GegoK12

These are not editions. The software is identical in all three — the difference is who owns the server and how much help you want. You can move between them at any time without migrating data or buying a different product.

Self-hosting costs you a server. A school of a few hundred students runs comfortably on a small VPS from any provider — that bill goes to your hosting company, not to us.

Pro modules

Buy a module, not an upgrade

Twelve modules are commercial: examination, fee management, timetable, media files, chat room, certificates, transport, inventory, stock, video room, alumni and the question paper generator. Most are $100. Timetable, transport and the question paper generator are $200. Video room management is $250. All twelve together come to $1,650.

There is no bundle to move up to and no edition to switch. Each module installs into the system you already have, so a school buys the fee module in year one and the transport module in year three without touching anything else.

Lifetime

Buy once, for one domain

The licence does not expire and is not renewed annually. It is locked to a single domain. Running a staging site as well? Ask us for a licence for it.

5 years

Updates and bug fixes included

Five years of free updates and bug fixes from the purchase date. After that the module keeps working — what ends is the free maintenance, not the licence.

Source code

Your developers get Git access

Pro modules ship as readable source, not obfuscated builds, and your development team is given Git access. Audit it, extend it, keep running it whatever happens to us.

Support

Support plans

Community support is free and always will be — open a GitHub issue and the maintainers read it. Paid support exists for schools that need a response by a known time rather than when someone gets to it. These plans are for schools running GegoK12 on their own server; managed hosting already includes support.

Business hours are Monday to Friday, 9am to 6pm IST (UTC+5:30), excluding Indian public holidays. A response target is the time to a first human reply, not the time to a fix — how long a fix takes depends on what is broken. If your school is several time zones from India, an 8-hour target can land on the following working day; Priority exists partly for schools where that matters.

The 10-ticket pack is the same Standard service bought by the incident instead of by the month. Tickets are valid for twelve months from purchase and one ticket covers one issue through to resolution, however many emails that takes. It suits a school that wants help available without a monthly commitment.

Support covers GegoK12 itself. It does not cover code your own developers have written on top of it, though we will look at it under a custom development engagement.

Professional services

Work we do for you, quoted per project

None of this is required. Every one of these is something a school with its own developers can do itself, because the source code is open. We sell them because most schools do not have their own developers.

$99

Installation and server setup

Ubuntu or Docker, Nginx, SSL, mail, cron, automated backups. We hand back a working system and the credentials, on your server or ours.

$199

Data migration

Students, staff, classes, fee history and past results moved from spreadsheets or an existing system, then reconciled against your records before go-live.

Quoted

Custom module development

A module GegoK12 does not have, built to your process against the same structure as the rest of the codebase. You get the source.

Quoted

Integrations

Payment gateways, SMS and email providers, biometric attendance devices, accounting systems and government reporting formats.

Quoted

White-labelling and reselling

Your brand, your domain, your clients. The MIT licence already permits this on the free core; talk to us about bulk Pro licences.

Quoted

School website design

A public school website that connects to your GegoK12 installation for admissions enquiries, notices and the events calendar.

Fixed-bid for a scoped deliverable, or time and materials for ongoing work — whichever suits the project. We say which one we are quoting before you commit.

Total cost

What a 500-student school pays over three years

Most school ERPs are sold per student per year, so the bill grows with enrolment and never stops. GegoK12 is bought once. The table assumes a school that takes the free core plus the five Pro modules schools most often need: examination, fee management, timetable, certificates and transport.

Software licence cost Per-student subscription GegoK12
Year 1$1,000$700
Year 2$1,000$0
Year 3$1,000$0

Three-year total$3,000$700

The subscription column is an illustration, not a quote from any named vendor: 500 students at an assumed $2 per student per year. Rates vary widely, so check the figure against whatever you have actually been quoted. Server hosting is excluded from both columns because both need it. If you buy managed hosting or a support plan from us, add that to the GegoK12 column.

No line item for these

What we never charge for

  • Students. Fifty or five thousand, the price is the same.
  • User accounts. Staff, teacher and parent logins are unlimited.
  • The mobile apps. Parent and teacher apps come with the core.
  • Extra branches or campuses on one domain. The licence is per domain, not per school building.
  • Setup or onboarding, if you do it yourself. The installer and documentation are public.
  • Getting your data out. It is your MySQL database. Export it whenever you want.
  • Leaving. No exit fee, no notice period on the free core, no held hostage data.
  • Rebranding the free core. The MIT licence permits it, including commercially.

One honest disclosure: the installer optionally reports the installation's IP address so we know roughly how many schools are running GegoK12. It is optional, it collects no student or school data, and you can decline it at install time.

Questions

Pricing questions

Is GegoK12 really free?
The core is. Twenty-six of GegoK12's thirty-eight modules are released under the MIT licence and cost nothing, permanently, with no per-student fee and no user limit. Twelve modules are paid add-ons between $100 and $250 each, and managed hosting, support plans and custom development are charged separately. A school that self-hosts the free core and never contacts us pays us nothing.
Is there a per-student or per-user fee?
No. Nothing in GegoK12's pricing depends on how many students, staff or parents use it. A Pro module licence costs the same for a school of fifty as for a school of five thousand, and student, teacher and parent accounts are unlimited on every plan.
Are the Pro modules a subscription?
No. Each Pro module is a one-off lifetime licence locked to one domain. It does not expire and is not renewed annually. It includes five years of free updates and bug fixes from the purchase date; after five years the module keeps working, and only the free maintenance ends. An updated licence is available later at a discounted price.
What do the Pro modules cost?
Between $100 and $250 each. Most are $100. Timetable management, transport management and the question paper generator are $200, and video room management is $250. All twelve together come to $1,650. The full per-module list is on the modules page.
Do I get the source code for the paid modules?
Yes. Pro modules ship as readable source rather than obfuscated or encrypted builds, and your development team is given Git access. They are commercially licensed rather than MIT, so you cannot redistribute them, but you can read, audit and extend them exactly like the free core.
What does managed hosting include, and what does it cost?
Managed hosting is $49 per month, or $490 billed annually. We provision and secure the server, apply version upgrades, monitor uptime, run nightly backups and answer support tickets, so a hosted school does not buy a separate support plan. The price is the same whatever your enrolment; above 2,000 students the server is sized differently and we quote. Pro module licences are billed separately.
What does paid support cost, and what is the response time?
Standard support is $59 per month, or $299 for a pack of 10 tickets valid twelve months, with a first response within 8 business hours. Priority support is $149 per month with a first response within 2 business hours, and we perform version upgrades for you rather than advising on them. Community support through GitHub issues is free and has no response commitment. Managed hosting already includes support at the Standard response target, so a hosted school does not buy a plan on top.
Is pricing different in India, Africa or Latin America?
The free core has no regional price because it has no price. For the twelve Pro modules, the dollar figures are the global list price, and we quote against what schools can realistically spend in your country. Tell us where the school operates, its name, the domain and which modules you need. Managed hosting and support are the same everywhere, because the servers cost us the same wherever the school is.
Can I resell GegoK12 or run it for my own clients?
The free core is MIT licensed, so yes: modify it, rebrand it and sell services around it without publishing your changes and without paying a royalty. Pro modules are licensed per domain, so a reseller needs a licence for each client domain. Contact us about bulk licensing and white-label terms.
What happens if I stop paying you?
On the free core, nothing — there is nothing to stop paying. Pro module licences you have already bought are permanent and keep working, whether or not you have an active support plan. If you cancel managed hosting we hand over the database and the installation. The data is yours in a standard MySQL database at all times.
Why is it free at all?
GegoK12 is built by GegoSoft Technologies, and the open core is how schools find us. Most schools install it, run it and never pay us anything, which is the intended outcome. A minority buy Pro modules, hosting, support or custom development, and that funds the work. Making the core free is a distribution decision, not a limited trial.
